The challenge
Six clinics, six sets of paper files. Patients seen at one branch arrived at another with no history. Billing was reconciled manually at month end and insurance claims were routinely rejected for incomplete documentation.
What we built
A shared electronic records platform with patient history, prescriptions, lab results, billing and insurance claim generation - built around clinical workflow rather than an accounting model.
How we approached it
- 1Shadowed clinicians across three branches before writing a single line of code
- 2Role-based access with a full audit trail on every record touch
- 3Structured insurance claim export matched to NHIF and private insurer formats
- 4Parallel-running period where paper and digital records coexisted for six weeks
- 5On-site training for 40 staff across all six branches
Our claim rejection rate was the quiet thing bleeding us. Fixing the documentation at the point of care fixed the revenue.
